The Leatherhead Concert & Arts Society was founded to secure the future of Music on Thursdays at LMC and Wednesdays at Christ Church lunchtime concerts in Leatherhead's Churches. The Society's trustees bring a broad experience of musicianship, business and charity management, and represent different expressions of faith. Each year surplus funds, beyond a retained reserve, are distributed to the hosting churches in proportion to the events hosted.

Unfortunately, your £20 or so contribution will not be enough to fund free concerts for the three years of your membership.
That would cost the Society considerably more, so please continue to contribute to the end of concert collections.

Update May 2021: It was not possible to hold an AGM around its usual late February date due to COVID prevention regulations. The Trustees chose to hold a Special General Meeting near the latest possible date, in the hope we would be able to do so in person. This was still not allowed by 20th May so we held the meeting online using Zoom technology.
Only two motions were put to Members at this SGM. The Treasurer asked for approval of the 2020 Financial Statement, and the Chair of the Meeting asked for approval of revisions to the Society's Constitution clarifying how certain officer posts may be held in combination, and the location and technology permissible for general meetings and for meetings of the Trustees. These were passed, and will be presented to the next AGM for ratification.
Only two motions were put to Members at this SGM. Update Jan 2019: At their meeting on 17th January 2019 the Trustees co-opted Kathie Oakley as a new Trusteee. Kathie and the existing Trustees will stand for election at the AGM on 28th February.
Other motions to be put to the AGM include a small donation to bring the Trinity Fund up to £1200, and a potential £1000 gift to NewSPAL if they are asked by Surrey County Council to take over the Surrey Performing Arts Library.

AGM 2018

In very brief summary, at the 2018 AGM members accepted the Treasurer's report and 2017 financial report, the Secretary/Concert Manager's report, approved donations to the hosting churches, accepted an amendment to the constitution, and agreed to appoint John Burrows-Watson as the Society's first Honorary President as a mark of respect for his solid support for the Society's activities and his long and varied career in several musical genres.

The 2018 AGM due to take place on Thursday 1st March 2018 was postponed to Thursday 12th April 2018 at 2pm, in the Lower Hall of Leatherhead Methodist Church.
In the usual 12.30 lunchtime slot there will be a piano concert by RAM Graduate Oliver Till. Details on this concert webpage.
There will be time for tea and coffee between the concert and the AGM.
Most of the existing Trustees agreed to stand again. Below you will find a downloadable document with the Agenda, last year's Minutes, and a list of the concert dates booked in before 6th Feb 2018. The up-to-date position can be viewed on the Diary webpage.

AGM 2017
The 2017 AGM took place on Thursday 23rd February 2017 at 2pm, in the Lower Hall of Leatherhead Methodist Church.
As in previous years, the AGM was followed by a 3pm concert. This year's guest artistes were piano duo Jan and Ian Assersohn who put together a wide-ranging programme of music for four hands on one piano. Details on this concert webpage.
Immediately after the AGM concert the Trustees held their first meeting of the year to agree on posts held. Peter Horsfield agreed to continue as Chair, Liz Barnes as Treasurer, Peter Steadman as Secretary and Concert Manager for the chamber series at LMC, and Anthony Cairns as Programme Director for the monthly organ series Wednesdays at Christ Church.

15 Feb 2017: Following guidance from the Charities Commission the following clarifying notice was added to the Society's websites: Fundraising Regulator Notice: Leatherhead Concert & Arts Society does NOT operate street or door-to-door collections in any area.
Charity Registration: On Wednesday 27th April 2015 the Trustees were informed that the Charity Commission had accepted our application to register. LCAS is now a registered charity in England & Wales No 1166764.

A formal contract covering use of Leatherhead Methodist Church was signed on 28th April 2016. This was a requirement of the Church's insurers. At the start of 2016 LCAS joined Making Music through whom we have secured public liability insurance and will make our annual returns to the Performing Rights Society.

LCAS Constitution
A new Constitution recommended by the Charity Commission was adopted at the Society's AGM on 25th February 2016, and the members accepted the reports and other motions put to that meeting.
After the AGM Concert, the newly-elected Trustees held their first meeting at which they elected Peter Horsfield to be Chair, Elisabeth Barnes Treasurer, and Peter Steadman Secretary. Anthony Cairns was appointed Programme Director for the organ series Wednesdays at Christ Church, and Peter Steadman to the same role for Music on Thursdays at LMC.
The date of the next AGM is Thursday 23rd February 2017.

2015/2016 Annual General Meeting - 2pm, Thursday 25th February 2016
LCAS Members, Audience members, and supporters, and anyone interested in the future of Leatherhead's lunchtime concerts and the work of the Society, was invited to attend the Annual General Meeting of the Charity on 25th February 2016.
The Agenda for this year's AGM included:
- Election of Trustees for 2016/2017 : Proposed are: Elisabeth Barnes, John Burrows-Watson, Anthony Cairns, Peter Horsfield, Leslie Prescott, Peter Steadman (all were elected)
- Finance Policy Motion: (accepted)
It is the policy of the LCAS that:
- all elected trustees may approve payments on behalf of the charity;
- payments may only be made by cheque or by electronic transfer following the bank’s requirements;
- cheques and bank transfers must be signed or authorised by two approved signatories; and
- no trustee may sign a cheque or approve a payment where the payment is made to that trustee, to any ‘connected person’ as described in Section 34 of the charity’s constitution, or to any charity, business or other entity controlled by that trustee or by any ‘connected person’.
- Liz Barnes proposes that there will be a nine-month financial year from 6th April 2016 to 31st December 2016, and that from 2017 Financial Years align with Calendar Years. (accepted)
Explanation: Liz Barnes, as co-opted Trustee & Treasurer, recommends that LCAS realigns its financial year to the calendar year as 1) this best reflects the charity’s programme of activities and 2) it should enable final accounts to be presented to future AGMs.
- The Trustees propose that, after retaining appropriate reserves for future years, a fund equivalent to £64 per event hosted be shared between the hosting Churches. (accepted, and acted on the same evening)
- Adoption of new Constitution recommended by the Charities Commission. (approved)

Update 14th January 2016: At a meeting of the Trustees today three new Trustees were co-opted. Elisabeth Barnes, who will become the Society's Treasurer, Anthony Cairns to represent Christ Church (United Reformed), and Les Prescott to represent Leatherhead Methodist Church.
All Trustees except Peter Bailey will stand for election by Members at the AGM on 25th February 2016.
Anthony Cairns was also appointed 2016 Programme Director for Wednesdays at Christ Church organ concerts, and Peter Steadman for Music on Thursdays at LMC. Both reported on their progress to date. Peter Steadman was also appointed the Society's Secretary.

Update 12th November 2015: At the final concert of the 2015 season it was announced that on the 8th November 2015 Graham Davies had decided to resign from LCAS as he will be moving to the West Country. After the concert Peter Steadman's speech included the following remarks:
"Graham Davies started thinking about these concerts in Autumn 2011, and launched them in March 2012. It was Graham who insisted we run weekly right from the start, when Frances Presley and myself felt safer setting out with monthly concerts to see how it would go. But no, his experience told Graham that weekly would work. And let’s face it, there are 65 of us here today, so he was right!
For four years Graham has selected the musicians for our concerts, and has spread them out across the season so we only get a month of cellists if we choose to, and not by accident! He has run with some of my ideas – like 2014’s Baroque Month, and this year’s opening Thoroughly English Concert for St George’s Day from Lynda Chang and Lesley Gladigau.
However, Graham feels it is time for him to move on in his life, and he has decided to step down as Chair of Trustees, and Programme Director.
I am delighted to say that, subject to agreement at a meeting of the Trustees, Peter Horsfield has agreed to become our Chair, and I have decided to take on the role of Programme Director for these concerts at LMC – in fact I am really looking forward to it. Anthony Cairns will be Programme Director for our monthly organ concert series - Wednesdays at Christ Church.
That leaves us with one area that we ought really to split away from my Admin and Marketing work, and that is Finance and Membership Records. It is time to appoint a Treasurer for LCAS. So if you would like to discuss that role, please talk to me today or give me your contact details so we can have a quiet chat in the next few days. There are only thirty members, we bank weekly, and we write cheques for the artistes. It really need not be onerous.
Graham Davies cannot be with us today. But let’s show our appreciation for the work he has done for our lunchtime concerts over these four years, and let’s make so much noise that he might just hear us this afternoon. To Graham!"
There was substantial and lengthy applause at this point, and it is pleasing to report that a potential Treasurer stepped forward as we were having tea. The Trustees hope to co-opt the new Treasurer at their next meeting.
Meanwhile, the previous day we had heard from the Charities Commission that they were minded to accept the charity's application to register, provided we upgrade to their model Constitution for larger societies. This change will be put to members at the LCAS Annual General Meeting on 25th February 2016. Members will also have the opportunity then to elect Trustees for the 2016/2017 year.

Update, 22nd October 2015: For insurance reasons LCAS will enter into a contractual arrangement with LMC from January 2016. This will not affect the spirit of the relationship between us, but it will have cost implications as LCAS will no longer be covered by the Church's Public Liability Insurance. At a meeting on 22nd October 2015 the Trustees agreed to join Making Music - the National Federation of Music Societies - from January 2016, and to subscribe to their insurance scheme.
A further result of the more formal relationship is that the Society will be bound by various policies of LMC and of Methodist Conference. These will be placed on this webpage as they are made available to us.

At the Society's Annual General Meeting on Thursday afternoon 5th February 2015, the following were elected to serve as Trustees for the coming year: Peter Bailey, John Burrows-Watson, Graham Davies (Programme Director), Peter Horsfield, and Peter Steadman (Administrator).
After retaining sufficient money to fund the coming season, it was agreed to distribute surplus funds to the two hosting churches, in proportion to the number of concerts held in each.
